Return & Refund Policy Last updated: January 2026 We want you to be confident in your purchase from Steadfast Forestry Products. Please review this policy carefully, as it outlines eligibility, conditions, and limitations for returns, refunds, exchanges, and claims. 1. Return Window We offer a 14-day return window from the date you receive your order to request a return. All return requests must be approved in advance. Items sent back without prior authorization will not be accepted. To request a return, please contact us at: steadfastforestry@gmail.com 2. Return Eligibility To be eligible for a return: - Item(s) must be new, unused, and unmodified - Item(s) must be returned in original packaging, including all components - Proof of purchase is required Returns that do not meet these criteria may be rejected. 3. Items Not Eligible for Return We do not accept returns for: - Items that have been modified in any way - Items showing signs of use, including carbon buildup, exhaust residue, heat discoloration, or tool marks - Custom, made-to-order, or special production items - Sale or final-sale items - Gift cards If you are unsure whether an item is eligible, please contact us before purchasing. 4. U.S. Orders Due to current U.S. import regulations, customs processing, and non-recoverable cross-border costs, all U.S. orders are final sale. We are unable to accept returns or issue refunds for U.S. shipments once an order has been placed. Please review our Duties, Tariffs & Import Fees Policy for more information. 5. Return Shipping Approved returns must be shipped to: Steadfast Forestry Products 188 Line Hill Road Huntsville, Ontario, Canada P1H 2N5 Customers are responsible for all return shipping costs. Original shipping charges are non-refundable. 6. Inspection & Restocking All approved returns are subject to a detailed inspection upon receipt. Return approvals are based on customer representations regarding item condition and any photos or videos provided during the return process. If an item claimed as defective, damaged, unused, or unmodified is found to be used, modified, tampered with, or otherwise not in returnable condition, one or more of the following may apply: - A 20% restocking fee - Rejection of the return - Return of the item to the customer at the customer’s expense Returns may take a few business days to process and inspect upon receipt. Inspection determinations are final. 7. Final Inspection & Condition Verification If inspection determines that an item does not match the condition stated by the customer, the return may be rejected and no refund issued. This includes, but is not limited to: - Evidence of tampering or improper installation - Use-related residue, discoloration, or wear - Alterations such as grinding, drilling, welding, or tuning-related changes - Missing, substituted, or damaged components Any inspection, restocking, or handling fees incurred are non-refundable. Documentation, including photos or video, may be used to support return decisions or respond to payment disputes or chargebacks. 8. Damaged, Defective, or Incorrect Items Please inspect your order immediately upon delivery. If an item arrives damaged, defective, or incorrect, contact us as soon as possible, including clear photos or a short video. This allows us to assess and resolve the issue efficiently. If the damage appears to have been caused during transit, please notify us promptly so we can assist with an insurance claim. Return claims must be submitted within 14 days of receipt. Insurance claims must be submitted within 10 days of the expected delivery date. Failure to cooperate with documentation or claim requirements may void eligibility for replacement or refund. 9. Installation & Use Responsibility Our products are intended for use by experienced or professional users. We are not responsible for issues arising from: - Improper installation or removal - Incorrect tuning or setup - Use outside the product’s intended application - Modifications to the product or the equipment it is installed on Performance expectations, sound characteristics, or compatibility concerns do not constitute defects. 10. Exchanges If you wish to exchange an item, the fastest method is to: - Request and complete an approved return (if eligible) - Place a new order once the return is processed 11. Refunds Once your return is received and inspected, we will notify you of approval or rejection. If approved: - Refunds are issued to the original payment method - Processing typically occurs within 10 business days - A 20% restocking fee may apply - Original shipping charges are non-refundable If rejected: - No refund will be provided - The item(s) may be returned to you at your request and expense 12. Shipping & Pre-Orders Customers are responsible for providing complete and accurate shipping information. We are not liable for lost, misdelivered, or returned packages caused by incorrect or incomplete addresses or contact information. Pre-order items are produced and shipped as they become available. Estimated shipping dates are provided at checkout but may change due to production schedules. Once an order leaves our facility, it is in the courier’s possession and subject to transit conditions, including customs inspections. All shipments are fully insured for the declared value of the goods while in transit. Customers are responsible for any duties, tariffs, or taxes assessed by local customs. These charges are not included in the purchase price or shipping cost. Refused or rejected shipments, including those with any unpaid fees, are treated as abandoned and are non-refundable. Prepaid import fees may include processing or administrative amounts and are non-refundable, except where required by law. 13. Insurance Claims Claims for lost, stolen, or damaged packages must be submitted within 10 days of the expected delivery date. Customers must cooperate with reasonable insurance and carrier claim requirements, which may include: - Completing claim forms - Providing written statements - Supplying a police report or theft report when requested Failure to respond or meet claim-related deadlines, refusal to provide requested documentation, or abandonment of the claims process will void eligibility for refunds or replacements. 14. Chargebacks We reserve the right to dispute any chargeback that violates our policies, including but not limited to: - False claims regarding returns or item condition - Refused or abandoned shipments - Delivery issues caused by incorrect shipping information - Disputes related to duties, import fees, brokerage charges, or prepaid import fees disclosed prior to purchase - Returns or insurance claims where the customer fails to cooperate with required processes and timelines, or abandons them in favor of a chargeback 15. Holidays & Closures Customer service, order and return processing, and other administrative functions may be unavailable during weekends, statutory holidays, scheduled closures, or limited operating periods. Customers should expect delays during these times. Auto-replies and posted notices will be used when available. Repeated, abusive, or entitled communication that disregards these delays or attempts to pressure staff may result in blocked communications, cancelled services, refused returns, and/or account restrictions. 16. Right to Refuse Service We reserve the right to refuse, cancel, or limit returns, refunds, or service in cases of policy violations, abuse, suspected fraud, or misuse of our products. We may also refuse service to customers who engage in harassment, abusive behaviour, repeated disregard of policy or instructions, or attempts to evade our policies. This includes, but is not limited to: - Repeated emails or messages after receiving a response (including automated replies) - Attempting to place orders under different names or accounts to bypass restrictions - Threatening, intimidating, abusive, or entitled behaviour toward staff - Refusal to follow our documented return or insurance claims process 17. Import Fees, Duties & Taxes Last updated: January 2026 Orders shipped outside of Canada — including to the United States — may be subject to customs duties, tariffs, taxes, or other import fees as determined by your local customs authority. These charges: - Are not included in your purchase price or shipping cost - Are the customer’s responsibility - Are either prepaid, collected after shipment, or collected upon delivery Please note that customs authorities may also open and inspect packages, which can result in delays or additional processing. Prepaid Import Fees In some cases, we may offer the option to prepay import fees (e.g., via third-party tools or manual invoicing). These fees are estimates, calculated based on available information at the time of purchase. Prepaid import fees are non-refundable, except where required by law. Important: Even when prepaid, final duties and fees are determined by customs authorities and couriers, and may differ from the estimated amount. Couriers typically treat refused packages as abandoned, since they may charge the same fees again plus return shipping and customs processing.
